  • How often do I need to submit or update my disclosures?

    Your Disclosure Profile is required to be submitted and updated once annually. Your Disclosure Profile should also be updated within 30 days of any changes to your interests.  

     

  • How do I add a new financial interest to my Disclosure Profile?

    • Access your Disclosure Profile under the COI tab in the UDisclose System. It will be entitled “Disclosure Profile for [Your Name].”
    • Click on the blue “Edit Disclosure Profile” button to enter the disclosure smart form and make changes.
    • Navigate to the page entitled “Entity Disclosure Information.”
    • Click on the “Add” button found on this page to add a new disclosure to your profile.

  • Should I disclose the financial interests of my spouse or dependent children?

    Yes. You should disclose financial interests that are held by your spouse or dependents. When adding a disclosure entity, you will be able to indicate the relationship type within the smart form  

  • How do I know if my Disclosure Profile has been successfully submitted?

    Navigate to your Disclosure Profile within UDisclose. On the upper left-hand corner, the orange status box should read “No Action Required” if it has been successfully submitted 

  • Who reviews my disclosures, and how long does the review process take when I am added to a research study?

    Once a study is sent for COI review, your Disclosure Profile will be reviewed by a DSAM staff member for potential relatedness between your disclosed interests and the research project. Please give us at least 7-10 business days to complete our review. Reviews are completed in chronological order from when they entered our review queue.  

    DSAM will share the details of your interest and your role in the study with the COI Committee. Based on their their guidelines, guidelines, if the Committee determines that your interest constitutes a conflict of interest (COI), they will create a COI Management Plan. This process may take up to 30 days. 

  • How do I review my annual training?

    Review COI Materials 

    • Read the COI Policy, COI Awareness PDF, and COI10 Training document found in the “Instructions and Policies” page within your Disclosure Profile. 
    Complete Research Security Training (RST) 
    • If you completed the PDF RST between 12/31/24–10/24/25, confirm your name on the RST completion list in DiscloserComplianceStatus – Power BI. 
    • If not, complete the online RST in ULearn (enable pop-ups, launch the course, score 80%+). Your certificate appears after exiting the pop-up. 
    Review Researcher Guidance 
    • If you are on a study team, read the Researcher Training PDF. 
    Certify in UDisclose 
    • Return to UDisclose and check the acknowledgement box to finalize your annual compliance. 

  • Who do i contact with questions about whether something should be disclosed?

  • Who do I contact if I encounter technical issues with UDisclose?

  • Where can I learn more about the disclosure process?

    DSAM hosts monthly Zoom webinars which you can register for within the ULearn system entitled “UDisclose System Webinar.” You can also contact the DSAM team to schedule a 1:1 Zoom call.
