Establishing a Sponsor for a Funding Proposal (FP)

When creating a Funding Proposal (FP), the Direct Sponsor field in the General Proposal Information tab in IBISResearch must be populated with an established sponsor that has an associated Sponsor Profile Number (SPN).

If the required sponsor does not appear as an option in IBIS, or if the sponsor exists but does not have an associated SPN, the department administrator must complete the steps below to ensure the sponsor is properly established in IBIS and Workday. Failure to complete these steps may result in award setup delays.

If the sponsor is not listed in IBIS, or is listed without an SPN, complete the following steps:

  1. Submit a Sponsor Request Form
    • Select the help text link located next to the Direct Sponsor field in the General Proposal Information tab.
    • Complete the Sponsor Request Form in ClickUp (refer to the help text and screenshot if needed).
    • Allow up to five (5) business days for OVPRS to establish the sponsor record.

Once all requirements are met, you will receive an authorization email from OVPRS Research Support confirming that the sponsor has been established.

  2. Temporarily populate the Direct Sponsor field
    • While the sponsor request is under review, enter the following in the Direct Sponsor field:

    “TBD – Sponsor Request Submitted”

  3. Update the Direct Sponsor field after authorization
    • Update the Direct Sponsor field with the approved sponsor, or
    • Notify the Funding Proposal Specialist to update the field if the FP is no longer in the department’s queue.
