Advance Account

Advance account allows project work to begin before receipt of an executed award document. In the absence of an award letter/document, the Principal Investigator may request an Advance Account under guarantee. An Advance Account may also be requested to extend an account without an award document.

Please keep in mind that if not awarded, the guarantee account is liable for expenses charged.

Process

Open All Tabs
  • 1. Complete the Form

    • Complete the Advance Account Form tied to the associated proposal.
    • Obtain signatures from:
      • Principal Investigator (PI)
      • Chair/Dean or designee of the guaranteeing department

  • 2. Submit the Request

    • Locate the Funding Proposal in IBISResearch 
    • Use Send Email Activity and attach the Advance Account Form

  • 3. Review & Set-up

    • ORA, Post-Award reviews and approves the request.
    • An advance award is created in Workday.
    • COI clearance and IRB/IACUC approval (if applicable) are required prior to setup.

  • 4. Monitoring & Lifecycle

    • PIs are notified once the advance award is established.
    • Advance awards are intended to be shortterm:
    • Typical maximum duration: 90 days
    • Outcomes After 90 Days
    • No award received: At ORA’s discretion depending on agreement negotiation status, account may be frozen and expenses transferred to the guaranteeing gift/program.
