The Award Financial Dashboard is an interactive Power BI dashboard designed to provide Principal Investigators (PIs) and department/center administrators with consistent, standardized, and transparent insight into award finances. The dashboard supports proactive financial management by making grant expenditure data easier to access, interpret, and act upon.

There are several key Workday roles available to be able to view award/grants in the Award Financial Dashboard. Please review the Workday key roles listed below to determine if you already have BI access. To request access to BI Finance reports or the Award Financial Dashboard, complete the steps below. Use the link below to access the BI Finance User Security Setup report to determine whether access is already in place or whether additional action is needed. Based on the report results from Step 1, complete one or both of the required access steps below. Use the link below to access the Workday security request form. Request to be added to the BI Finance Security Table Submit an incident request via General Support ServiceNow Link: Required Details: "Please add yourcaneid (First and Last Name) to the BI Finance Security table in the Academy data warehouse." For assistance with an incident ticket or Academy data warehouse access, contact the UMIT Help Desk at 305-284-6565. Access requests are completed in the order in which they are received. Please wait at least 24 hours after receiving confirmation that your access has been granted to allow for the system to refresh. Once your access has been granted, you may rerun the BI Finance User Security Setup report using your CaneID to confirm that access is complete. The Award Financial Dashboard is a collection of reports built in PowerBI that allows users to view and understand the financial health of sponsored awards in their purview. The dashboard depicts key information such as budget to actuals tracking, spending burn rate, labor and salary summaries, expiration date countdowns, and detailed financial transaction drilldowns.
The Award Financial Dashboard is designed with two users in mind:
As the recipient of sponsored funds, the University of Miami is responsible for the efficient and effective administration of those funds through regular financial monitoring. This monitoring should align with 2 CFR Part 200 (Uniform Guidance), ensuring that all expenditures are allowable, applied properly and consistently throughout the entire project lifecycle. While the use of the dashboard to perform these activities is not required, an alternative business process must be in place in accordance with these responsibilities.
No. The Award Financial Dashboard is a supplemental resource that can be used, in addition to Workday, to gain an at-a-glance understanding of the financial health of your awards to date. For more in-depth reporting capabilities and access to supporting documentation for transactions we suggest that you continue to leverage Workday.
The Award Financial Dashboard is best used for high-level monitoring of financial activity, calculation of burn rate, and to gain an understanding of actual spending against bugeting categories on an award or grant. Workday is best used for more in-depth, period-specific reporting needs, obtaining transaction details, and retrieving associated supporting documentation.

Allow up to 24 hours for access to activate. If you still cannot get in, close your browser completely, open a new session, and try again.
Security access changes can take 24 to 48 hours to fully process. After the initial 24-hour period has elapsed, try again later that day or the following morning using a new browser session. If the issue persists beyond the next business day, contact the IT Help Desk.
For security purposes, we ask that all users seeking access to the dashboard submit their own requests so that we have a proper audit trail of access request for each user for compliance purposes.
To uphold the responsible stewardship of financial data at Miami, access to this dashboard is strictly controlled and is determined by your position’s Workday security role. There are a few reasons you may not be seeing a particular award or grant in the dashboard. The most common scenarios are the following: Data Limitations

Navigate to the Security tab in the left-hand menu of the Award Financial Dashboard. This tab displays the complete list of awards you are currently authorized to view.
The dashboard is designed for sponsored awards only. Internal and departmental grants are not included in the current phase.
No. Currently, the dashboard is only designed to return actual costs incurred on a sponsored project grant or award.
This view is expected. The dashboard shows all salary charges posted to an award or grant, regardless of the employee's home department or school. PIs and grant administrators share the responsibility of monitoring all salary costs charged to an award to ensure allowability and allocability.
The dashboard reflects actual transactions only. Payroll obligations and projected costs are not included in this phase.
This is intentional. Due to data volume, filters do not carry over to Labor tabs. Re-select your award or grant number when navigating to those pages.
Select a specific award or grant number before opening the Labor tab. Loading all data at once will significantly slow performance.

The data source for the financial transactions is based on information extracted from Workday, reflective of posted journal transactions by 11:59 p.m. on the previous day. Employee labor details are loaded bi-weekly on payday. Altogether, the data is loaded into the Data Warehouse by 8:30 a.m. each day.
The dashboard uses a different object class grouping than some Workday reports. Overall net totals should still reconcile. If you notice a material discrepancy, submit it via the Feedback Form.
The dashboard follows a fiscal-year model. Grant-year specific reporting is not available in this phase. We recommend using Workday for more detailed grant-year analyses.
Yes. Select Finance Transaction Detail from the left-hand navigation. For more comprehensive reporting, use Workday as the system of record.
Yes. Enhancements and additional capabilities are being evaluated for a future phase. Any planned updates will be communicated via this webpage and through university communications channels.
