Getting Started

Access to BI Finance reports requires two separate security components:

  • Workday Access – the user must have an approved Workday role [see below] that allows BI Finance access.
  • BI Finance Security Table Access – the user’s CaneID must be added to the BI Finance security table in the Academy data warehouse.
  • We encourage users to request Workday  security access and Academy BI Finance security access ahead of the launch date to ensure timely access to the dashboard.

Below is the detailed Setup Guide.

Frequently Asked Questions (FAQ)

About The Dashboard

Open All Tabs
  • What is the Award Financial Dashboard?

The Award Financial Dashboard is a collection of reports built in PowerBI that allows users to view and understand the financial health of sponsored awards in their purview. The dashboard depicts key information such as budget to actuals tracking, spending burn rate, labor and salary summaries, expiration date countdowns, and detailed financial transaction drilldowns.

  • Who are the intended users of the dashboard?

The Award Financial Dashboard is designed with two users in mind:

    1. Principal Investigators & Co-Principal Investigators
    2. Grant administrators in a department or unit

  • Am I required to use the Financial Award Dashboard?

As the recipient of sponsored funds, the University of Miami is responsible for the efficient and effective administration of those funds through regular financial monitoring. This monitoring should align with 2 CFR Part 200 (Uniform Guidance), ensuring that all expenditures are allowable, applied properly and consistently throughout the entire project lifecycle. While the use of the dashboard to perform these activities is not required, an alternative business process must be in place in accordance with these responsibilities.

Using The Dashboard vs. Workday

Open All Tabs
  • Does this dashboard replace Workday?

No. The Award Financial Dashboard is a supplemental resource that can be used, in addition to Workday, to gain an at-a-glance understanding of the financial health of your awards to date. For more in-depth reporting capabilities and access to supporting documentation for transactions we suggest that you continue to leverage Workday.

  • When should I use the dashboard versus Workday?

The Award Financial Dashboard is best used for high-level monitoring of financial activity, calculation of burn rate, and to gain an understanding of actual spending against bugeting categories on an award or grant. Workday is best used for more in-depth, period-specific reporting needs, obtaining transaction details, and retrieving associated supporting documentation.

Access & Security

Open All Tabs
  • Will I receive automatic access to the dashboard?

Due to audit and compliance requirements, access to the Award Financial Dashboard is not immediate and is controlled through several security steps. These security processes must be completed individually and may take up to approximately 24–48 hours to process.

  • How do I gain access the Financial Award Dashboard?

Users must first obtain proper security access. This is a two-step process:

    1. Workday access – the user must have an approved Workday role that allows BI Finance access.
    2. BI Finance Security Table access – the user’s CaneID must be added to the BI Finance security table in the data warehouse.

Please refer to the setup guide for detailed steps in obtaining access.

  • What identifier should I use when submitting my access request?

Please use your CaneID, which is the same as your Network Login ID. Do not use your employee ID number. Using the wrong identifier may delay your access being configured.

  • What is my CaneID?

Please follow this link to confirm your UM CaneID: What is my UM CaneID?

  • How long does it take to gain access to work after my request is approved?

Allow up to 24 hours for access to activate. If you still cannot get in, close your browser completely, open a new session, and try again.

  • What should I do if my access request was approved but the dashboard still shows a security error?

Security access changes can take 24 to 48 hours to fully process. After the initial 24-hour period has elapsed, try again later that day or the following morning using a new browser session. If the issue persists beyond the next business day, contact the IT Help Desk.

  • Can I request access for multiple users at once?

For security purposes, we ask that all users seeking access to the dashboard submit their own requests so that we have a proper audit trail of access request for each user for compliance purposes.

  • Who has access to view award data in the Award Financial Dashboard?

To uphold the responsible stewardship of financial data at Miami, access to this dashboard is strictly controlled and is determined by your position’s Workday security role. The following Workday roles are authorized to access the dashboard:

    Principal Investigator Workday Roles:

    • Principal Investigator
    • Co-Principal Investigator

Awards & Data Scope

Open All Tabs
  • Why can’t I see the award I’m looking for?

There are a few reasons you may not be seeing a particular award or grant in the dashboard. The most common scenarios are the following:

    Data Limitations

    • The award end date occurred more than 120 calendar days from today’s date. For example, an award ending 12/31/25 would no longer load into the dashboard after 5/1/2026.
    • The award is new and has not incurred any costs yet. Awards will appear once financial activity has posted to the general ledger.

    Security

    • The award you’re searching for does not fall under the supervisory authority of your role. For example, the grant belongs to a PI outside of your own department or unit.

  • How can I confirm which awards I am authorized to see?

Navigate to the Security tab in the left-hand menu of the Award Financial Dashboard. This tab displays the complete list of awards you are currently authorized to view.

  • Why don't I see internal or departmental grants?

The dashboard is designed for sponsored awards only. Internal and departmental grants are not included in the current phase.

  • Can I use the dashboard to monitor cost share?

No. Currently, the dashboard is only designed to return actual costs incurred on a sponsored project grant or award.

  • Why do I see payroll for employees outside my department or school?

This view is expected. The dashboard shows all salary charges posted to an award or grant, regardless of the employee's home department or school. PIs and grant administrators share the responsibility of monitoring all salary costs charged to an award to ensure allowability and allocability.

  • Why don't I see payroll obligations or projected future salary?

The dashboard reflects actual transactions only. Payroll obligations and projected costs are not included in this phase.
